Job Title: Administrative Assistant
Location: Southside (Headquarters) – Jacksonville, FL
Compensation:

  • $45,000+ annually (DOE)

  • Discretionary bonus incentives


About the Role:

We are seeking a highly organized and proactive Administrative Assistant to support our corporate operations. This role requires someone with exceptional attention to detail, strong communication skills, and proficiency in Microsoft Excel to manage reporting and data analysis needs.

The ideal candidate is resourceful, thrives in a fast-paced environment, and can juggle multiple tasks while maintaining accuracy and professionalism.


Key Responsibilities:

  • Generate daily, weekly, monthly, and annual reports using Excel

  • Analyze and organize data from multiple sources for executive reporting

  • Maintain and track company assets: credit cards, fuel cards, mobile devices, etc.

  • Document customer concerns and outcomes in SharePoint

  • Support executives, office staff, and field personnel with administrative tasks

  • Coordinate meetings, travel, conference calls, and event logistics

  • Answer incoming calls and assist with document filing and office organization

  • Conduct research and assist with compliance certifications and reporting

  • Manage vendor and customer communications and maintain positive relationships

  • Handle mail, shipping, and general office errands

  • Provide support for special projects as assigned


Qualifications:

  • High school diploma or equivalent (post-secondary education preferred)

  • 5+ years of administrative or office support experience

  • Advanced proficiency in Microsoft Excel (pivot tables, vlookups, data sorting/filtering)

  • Proficient in other Microsoft Office applications and standard office equipment

  • Strong written and verbal communication skills

  • Highly organized with strong attention to detail

  • Valid driver’s license and reliable transportation

  • Ability to work independently and manage competing priorities

  • Must pass a background check, credit check, and drug screening
