Ascendo Resources is seeking a detail-oriented and patient-focused Outpatient Coordinator to support day-to-day clinical and administrative operations for our healthcare imaging client. This individual will serve as the primary point of contact for patients, providers, and internal teams, ensuring that outpatient imaging appointments run smoothly and efficiently. The ideal candidate thrives in a fast-paced healthcare setting, demonstrates exceptional communication skills, and is committed to delivering an excellent patient experience.

Key Responsibilities Patient Scheduling & Coordination

  • Schedule and confirm outpatient imaging appointments (MRI, CT, X-ray, Ultrasound, Mammography, etc.).

  • Verify procedure requirements, prep instructions, and clinical indications prior to scheduling.

  • Coordinate with referring physicians to obtain complete orders, authorization, and required documentation.

  • Ensure accurate patient registration and data entry into EMR/RIS systems.

Patient Experience & Communication

  • Serve as a primary resource for patients regarding appointments, prep instructions, and general inquiries.

  • Communicate clearly and professionally via phone, email, and in person.

  • Support patients with check-in, paperwork, insurance updates, and service navigation.

Insurance & Authorization

  • Collect and verify insurance information; ensure eligibility and benefits are confirmed.

  • Work with internal and external authorization teams to secure required prior authorizations.

  • Communicate authorization status or issues to patients, providers, and imaging staff.

Operational Support

  • Coordinate daily appointment flow with technologists, radiologists, and clinical teams.

  • Monitor schedule utilization, cancellations, and add-on requests.

  • Maintain accurate records, logs, and documentation to support compliance and operational reporting.

  • Assist with front office, patient access, and general administrative tasks as needed.

Qualifications

  • High school diploma or equivalent required; Associate degree or healthcare coursework preferred.

  • 1–2 years of experience in a medical office, radiology practice, or outpatient clinic strongly preferred.

  • Working knowledge of insurance verification, medical terminology, and prior authorizations.

  • Experience with EMR/RIS/PACS systems; familiarity with scheduling software preferred.

  • Strong communication, customer service, and problem-solving skills.

  • Ability to multitask, stay organized, and work in a fast-paced environment.
