Position Summary

The Office Assistant serves as the primary point of contact for visitors, employees, and independent contractors while supporting administrative functions across personnel, payroll, finance, budgeting, and sales operations.

This role is responsible for ensuring the office operates efficiently by managing daily administrative tasks and supporting operational processes in a structured, organized, and scalable environment.


Key Responsibilities

Front Desk & Communication

  • Serve as the first point of contact for visitors and guests, greeting them professionally and ensuring proper sign-in procedures.

  • Answer and route incoming phone calls, taking and relaying accurate messages as needed.

  • Assist with addressing client or contractor inquiries and help resolve issues promptly and professionally.

Administrative & Office Support

  • Issue and collect job applications and administer applicant assessments, including Wonderlic and Excel tests.

  • Handle incoming and outgoing mail, packages, and payroll distribution while maintaining digital tracking logs.

  • Maintain office records, assist with document preparation, copying, and filing.

  • Support general administrative functions to ensure smooth day-to-day office operations.

Office Operations

  • Prepare and maintain common office areas, including conference rooms and breakrooms.

  • Replenish coffee stations, utensils, and other shared supplies.

  • Maintain and restock office and janitorial supplies as needed.

Employee & Contractor Support

  • Process badge and uniform requests.

  • Maintain operational and sales boards with accurate and up-to-date information.

Inventory & Supply Management

  • Monitor key tracking systems, conduct periodic audits, and verify equipment status.

  • Order, receive, and organize office supplies and operational materials through approved vendors.

Additional Duties

  • Provide support for office events and operational activities as needed.

  • Perform other administrative tasks to support overall office efficiency.


Qualifications

Requirements

  • Must be fluent in English and Spanish with strong verbal communication skills.

  • Strong interpersonal and customer service skills.

  • Proficiency in Microsoft Office Suite (Word, Excel, Outlook).

  • Excellent organizational and multitasking abilities.

  • High attention to detail with strong follow-through.

  • Ability to maintain confidentiality and professionalism at all times.


Physical Demands

This position requires extended periods of desk work, phone communication, and interaction with employees, contractors, and visitors. Occasional movement around the office to assist with administrative or operational tasks may be required.


Work Environment

Office-based environment with regular interaction with staff, contractors, and visitors.
