Outpatient Coordinator – Front Desk / Administrative Support

Key Responsibilities:

Greet patients and visitors in a warm, professional manner

Answer incoming calls and messages; route appropriately or create help desk/support tickets when needed

Schedule, confirm, and follow up on patient appointments using scheduling software

Communicate with medical providers and departments to coordinate outpatient services

Verify patient insurance information and collect necessary documentation

Contact vendors or providers to confirm appointment availability and coordinate care needs

Maintain a clean, welcoming front desk and lobby environment

Assist patients with basic inquiries, intake forms, and procedural questions

Perform administrative tasks such as scanning, photocopying, faxing, filing, and data entry

Collect and route incoming mail, records, and hand-delivered documents

Follow up with patients regarding paperwork, appointment reminders, or additional service needs

Ensure confidentiality and compliance with HIPAA regulations at all times
Qualifications:

1+ years of experience in a healthcare, outpatient, or front desk environment preferred

Strong communication skills – professional, friendly, and clear (verbal and written)

Ability to multi-task, prioritize, and work under pressure in a fast-paced setting

Proficiency with Microsoft Office Suite (especially Excel and Word)

Familiarity with electronic medical records (EMR) and scheduling software is a plus

Excellent attention to detail and organizational skills

Strong interpersonal skills with a positive, team-oriented attitude

Ability to maintain patient confidentiality and professionalism

Willingness to learn and take on new responsibilities

Must have reliable transportation and punctual attendance
