Job Summary:
National family law firm headquartered in Miami (Midtown Miami) is seeking an Accounts Payable Specialist to join its team as soon as possible.  The AP Specialist will play a key role in managing the firm’s accounts payable processes, ensuring timely and accurate payment of invoices, and maintaining strong vendor relationships. Reporting to the Controller, this role requires organization, precision, and a proactive approach to handling financial transactions in a fast-paced legal environment.

Key Responsibilities:

  • Process and verify vendor invoices, ensuring accuracy and compliance with firm policies.
  • Prepare and execute payments via checks, ACH, wire transfers, or other methods.
  • Reconcile accounts payable transactions and resolve discrepancies promptly.
  • Maintain accurate and up-to-date vendor records in the accounting system.
  • Monitor and track expense reports, ensuring proper coding and approvals.
  • Assist with month-end close activities, including account reconciliations and reporting.
  • Respond to vendor inquiries and maintain positive relationships with suppliers.
  • Ensure compliance with internal controls, firm policies, and applicable regulations.
  • Support audits by providing documentation and responding to auditor inquiries.
  • Collaborate with the finance team to streamline processes and improve efficiency.

Qualifications:

  • Associate’s or Bachelor’s Degree in Accounting, Finance, or related field preferred.
  • 2+ years of accounts payable experience, preferably in a law firm or professional services environment.
  • Proficiency in accounting software (e.g., QuickBooks, Elite, or Clio) and Microsoft Office, particularly Excel.
  • Strong attention to detail and ability to manage high volumes of transactions accurately.
  • Excellent organizational skills with the ability to prioritize and meet deadlines.
  • Effective communication skills for interacting with vendors and internal teams.
  • Knowledge of basic accounting principles and familiarity with 1099 reporting is a plus.
  • Ability to maintain confidentiality and handle sensitive financial information.
