Job Summary:

The Cash Application Specialist is responsible for the accurate and timely application of customer payments, leveraging knowledge of company products, internal systems, and customer relationships. This role ensures proper cash application through coordination with internal teams and external customer portals, while maintaining the integrity of accounts receivable records.

Key Responsibilities:

  • Apply customer payments daily using bank statements

  • Maintain documentation for missing remittance information

  • Collaborate with internal teams to identify and apply intercompany payments

  • Perform monthly netting cash application

  • Access and utilize customer portals (e.g., Ariba, Coupa) to retrieve necessary remittance data

  • Communicate with Collections, Sales, and Customer Service teams to resolve short payments, deductions, and other discrepancies

  • Provide regular updates to management regarding account statuses

  • Reconcile bank accounts daily to ensure accuracy and integrity of financial records

  • Analyze and process offsets, write-off requests, and confirm payment applications with check copies

  • Escalate and document potential problem accounts to the appropriate manager or supervisor

Qualifications:

  • High School Diploma or GED required

  • Minimum of 2 years’ experience in high-volume cash application

  • Proficiency with Microsoft Excel (basic functions, formatting, print setup)

  • Experience with ERP systems (e.g., Dynamics AX, Great Plains preferred)

  • Familiarity with customer payment portals
