Program Coordinator – Maternity Leave Coverage

 

Weekend availability is required:

  • Saturdays: 8:00 a.m.–6:00 p.m.

  • Sundays: 8:00 a.m.–12:00 p.m.

 

Position Overview

We are seeking an organized, personable Program Coordinator/ Administrative Assistant to provide maternity leave coverage for an Executive program in Miami. 

The Program Coordinator will work closely with staff and  internal departments,  coordinate events and communications, and ensure each weekend runs smoothly.

Key Responsibilities

  • Coordinate services, including orientation, guest speakers, and special events

  • Prepare, distribute, and track weekly schedules, announcements, onboarding materials, surveys, event RSVPs, elective information, and graduation communications

  • Coordinate event logistics, including venues, presenters, travel arrangements, materials, catering, and technology needs

  • Serve as an on-site resource during class weekends and resolve issues i

  • Partner with committees to plan events that support engagement and inclusion

  • Collaborate with program leadership to identify and promote new initiatives

  • Maintain an active presence during weekends to help deliver a high-quality  experience

  • Create and distribute communications using platforms such as Canva and Smore

Qualifications

  • Bachelor’s degree in a relevant field or an equivalent combination of education and experience

  • At least one year of program coordination, project administration, event coordination, or related experience

  • Availability to work approximately two weekends per month and occasional evenings

  • Strong written and verbal communication skills

  • Excellent customer service and interpersonal skills

  • Strong organization, time management, and attention to detail

  • Ability to manage multiple priorities in a fast-paced environment

  • Comfortable working independently and using sound judgment

Preferred Qualifications

  • Experience working in higher education, academic programs, executive education, or student services

  • Experience coordinating events or programs for large groups

  • Familiarity with Canva, Smore, or similar communication platforms
