Are you someone who thrives in a fast-paced environment, enjoys keeping things organized, and takes pride in creating a welcoming and professional experience for others? We are seeking a polished and detail-oriented Office Support Specialist to service our front desk, and support projects.

In this role, you will be the face and voice of the company while also serving as a critical administrative support partner across multiple departments. This opportunity is ideal for someone who enjoys multitasking, communicating with people at all levels, and ensuring day-to-day operations run smoothly and efficiently.

 

What You’ll Do

  • Answer and manage incoming phone calls, directing inquiries appropriately and providing accurate company information
  • Greet and host visitors while creating a welcoming and professional office environment
  • Coordinate incoming/outgoing mail, packages, and express delivery services
  • Maintain clean, organized reception, meeting, and mail room areas
  • Log, track, and organize incoming requests using internal systems
  • Coordinate multi-step administrative requests between internal teams and follow up to ensure completion
  • Provide light technical editing support, including formatting, grammar review, and acronym consistency in documents and correspondence
  • Transfer and organize data accurately across systems, templates, and files while maintaining version control
  • Set up and maintain electronic filing systems according to company standards
  • Assist with document preparation, attachments, naming conventions, and administrative reporting
  • Support internal teams with checklists, logs, and administrative coordination
  • Handle time-sensitive and regulated documentation with exceptional attention to detail
  • Perform additional administrative and office support duties as needed

 

Qualifications

  • High school diploma or equivalent required
  • 1–3+ years of front desk, receptionist, or office support experience
  • Excellent verbal and written communication skills
  • Strong customer service and hospitality mindset
  • Highly organized with the ability to multitask and prioritize effectively
  • Strong attention to detail and ability to work independently
  • Proficiency in Microsoft Office and general office technology

Preferred Qualifications

  • Experience with ADA compliance
  • Familiarity with document management platforms such as SharePoint or OneDrive
  • Experience coordinating tasks across multiple departments or stakeholders
  • Exposure to technical editing or administrative support within engineering, environmental, construction, or technical industries is a plus

Physical Requirements

  • Ability to sit for extended periods of time
  • Ability to work on a computer for extended durations with or without corrective lenses
