Position: Accounts Receivable Specialist
Location: Delray Beach, FL (Fully Onsite)
Schedule: Full-Time, 40 hours per week (8/9 AM – 5 PM)

About the Role

We are seeking a detail-oriented Accounts Receivable Specialist to join our team. In this role, you will be responsible for managing collections, processing payments, and ensuring the timely resolution of outstanding balances. You will work closely with internal teams and customers to facilitate efficient and accurate financial transactions.

Key Responsibilities

  • Collections & Account Management:

    • Proactively collect on open balances before lien due dates, following established collection processes.
    • Research overdue accounts, investigate discrepancies, and resolve outstanding issues.
    • Communicate with customers via phone, email, and written correspondence to secure payments.
    • Maintain accurate documentation of all collection efforts in the company’s CRM system.
  • Payment Processing & Reporting:

    • Monitor and manage the Accounts Receivable Aging Report using our ERP system (transitioning from QuickBooks to NetSuite).
    • Process payments via ACH, credit cards, wire transfers, and third-party checks.
    • Assist in processing liens, lien satisfactions, and small claim losses for delinquent accounts.
    • Provide direct communication to management regarding lien decisions.
  • Collaboration & Process Improvement:

    • Work cross-functionally with Production, Admin, and Billing teams to resolve payment issues.
    • Support the accounting team by cross-training in various roles and assisting with special projects as assigned.

Qualifications & Skills

  • Prior experience in accounts receivable, collections, or accounting.
  • Proficiency in ERP systems (QuickBooks, NetSuite preferred) and CRM software.
  • Strong analytical and problem-solving skills to investigate account discrepancies.
  • Excellent communication and negotiation skills to handle customer interactions professionally.
  • Ability to work independently and collaboratively in a fast-paced environment.
