Job Summary:

The Leasing Administrative Manager oversees the daily operations of the leasing department, ensuring efficient lease administration, compliance with policies, and accurate record-keeping. This role requires strong organizational skills, attention to detail, and the ability to support leasing staff while managing tenant relations.

Key Responsibilities:

  1. Lease Administration & Compliance:

    • Oversee the lease application and approval process.

    • Ensure lease agreements are accurately prepared, executed, and stored.

    • Monitor lease expirations, renewals, and terminations.

    • Ensure compliance with local, state, and federal leasing regulations.

  2. Administrative & Operational Support:

    • Maintain accurate tenant records and databases.

    • Process lease payments, deposits, and financial transactions related to leases.

    • Coordinate with legal teams regarding lease disputes and compliance issues.

    • Prepare reports on leasing activity, occupancy rates, and financial performance.

  3. Tenant & Customer Service:

    • Serve as a liaison between tenants and property management.

    • Address tenant inquiries, concerns, and lease-related issues.

    • Facilitate tenant move-ins, move-outs, and lease renewals.

  4. Team Leadership & Coordination:

    • Supervise leasing staff and provide training on leasing policies and procedures.

    • Work closely with marketing teams to implement leasing strategies.

    • Assist in setting leasing goals and ensuring targets are met.

  5. Marketing & Leasing Support:

    • Support leasing agents in attracting and retaining tenants.

    • Review and update marketing materials and property listings.

    • Assist in organizing property tours and leasing events.

Qualifications:

  • Bachelor's degree in Business Administration, Real Estate, or a related field (preferred).

  • 3+ years of experience in lease administration, property management, or real estate.

  • Strong knowledge of leasing laws, regulations, and industry best practices.

  • Proficiency in property management software (e.g., Yardi, RealPage, MRI).

  • Excellent organizational and multitasking skills.

  • Strong interpersonal and communication abilities.

  • Leadership experience in a leasing or property management environment is a plus.
