About the Role

We’re seeking a detail-oriented and versatile Accounting & Administrative Assistant who can handle a mix of accounting, financial, and office coordination tasks. The ideal candidate is organized, proactive, and comfortable wearing multiple hats in a fast-paced environment.

 

Key Responsibilities

  • Manage and monitor credit card accounts, including daily balance updates, funding reloads, and charge tracking
  • Record invoices and process payments through QuickBooks Online
  • Handle vendor payments via Melio, PayPal, and Wise (upon approval)
  • Reconcile bank statements weekly and assist with account tracking
  • Prepare and maintain digital and physical files, invoices, and financial documents
  • Support the Chief Accountant and Owner with ad hoc administrative and accounting projects
  • Assist with expense reporting, document organization, and scheduling tasks as needed

 

Qualifications

  • Bachelor’s degree in Accounting, Finance, or Business (preferred)
  • 2+ years of experience in accounting, bookkeeping, or office administration
  • Proficient in Microsoft Excel (VLOOKUPs, Pivot Tables)
  • Experience using QuickBooks Online required
  • Familiarity with Melio, PayPal, or Wise is a plus
  • Strong attention to detail and ability to multitask in a small business setting
  • Excellent communication and organizational skills
