We are looking for a motivated and detail-focused Accounts Payable Specialist to handle the full cycle of payables, including invoice processing, vendor maintenance, and payment execution. This role is key to ensuring timely payments, accurate financial records, and compliance with regulatory and internal policies.

Key Responsibilities:

  • Accurately process vendor invoices with proper coding and approval routing

  • Execute payments in alignment with bank protocols and vendor terms

  • Maintain up-to-date and compliant vendor master data

  • Resolve invoice discrepancies and vendor inquiries efficiently

  • Maintain AP logs, payable registers, and prepare monthly expense accruals

  • Assist with reconciliation between AP sub-ledgers and the General Ledger

  • Handle executive expense reimbursements and corporate credit card transactions

  • Ensure proper application of sales and withholding taxes

  • Manage funding of accounts payable disbursement accounts with proper documentation

  • Post general ledger entries and perform regular account reconciliations

  • Clear unposted items and reconcile subsidiary ledgers to the general ledger

  • Provide back-up support for Staff Accountant and assist the department as needed

Qualifications:

  • Bachelor’s degree in Accounting or Finance preferred

  • 2+ years of relevant experience in accounts payable or finance

  • Hands-on experience with automated AP systems and process improvement

  • Familiarity with accounting software (e.g., Prologue, AS400) and vendor-related tax regulations

  • Proficiency in Microsoft Office, especially Excel, and financial software tools

  • Strong analytical and problem-solving skills

  • Excellent verbal and written communication abilities

  • Highly organized with the ability to manage multiple priorities and meet deadlines

  • Bilingual (English/Spanish) preferred
