Job Description

The Legal Assistant provides administrative and legal support to in-house counsel and claims/legal teams within an insurance organization. This role supports litigation, regulatory compliance, and claims-related legal matters by managing documentation, coordinating case activity, and ensuring accuracy, confidentiality, and timely execution of legal processes.

Key Responsibilities

  • Provide administrative and legal support to in-house attorneys, claims managers, and legal staff.

  • Prepare, review, and format legal documents including pleadings, correspondence, discovery responses, subpoenas, and settlement documentation.

  • Maintain legal files and case management systems, ensuring accurate documentation and adherence to retention policies.

  • Coordinate litigation calendars, track deadlines, and schedule hearings, depositions, mediations, and meetings.

  • Assist with insurance claims litigation, including bodily injury, property damage, subrogation, coverage disputes, and bad faith claims.

  • Communicate with external counsel, adjusters, courts, regulatory agencies, and internal departments.

  • Process service of process, manage subpoenas, and track responses in compliance with court rules.

  • Support regulatory and compliance matters, including state insurance filings and audit requests.

  • Assist with discovery management, document production, and e-discovery coordination.

  • Prepare expense reports, manage legal invoices, and track outside counsel billing.

  • Conduct basic legal research and compile case summaries as requested.

  • Maintain strict confidentiality and ensure compliance with HIPAA, privacy laws, and company policies.

Qualifications

  • Associate’s or Bachelor’s degree, Paralegal Certificate preferred.

  • 2+ years of experience as a Legal Assistant or Paralegal, preferably within insurance, litigation, or corporate legal environments.

  • Knowledge of insurance law, litigation procedures, and legal terminology.

  • Proficiency with legal case management systems and Microsoft Office Suite.

  • Strong organizational skills and ability to manage multiple deadlines.

  • High attention to detail and discretion in handling sensitive information.

  • Excellent written and verbal communication skills.
