Job Responsibilities:

  • Manage and process all project orders efficiently, ensuring accuracy in tracking, billing, and order closure.
  • Serve as a liaison between sales, internal departments, and vendors to facilitate the creation of quotes and orders.
  • Prepare quotes by gathering product specifications, conducting research, addressing special project requirements, and coordinating input from sales, design, project management, customers, and vendors.
  • Verify and validate information, including pricing and discounts, provided by both internal teams and external vendors.
  • Assist with the preparation and issuance of client proposals in a timely manner.
  • Generate deposit invoices and confirm deposit collection prior to processing the order.
  • Process orders by manufacturer, converting quotes into confirmed orders while ensuring all order details are accurate.
  • Issue purchase orders to manufacturers and confirm receipt, as well as process acknowledgments from vendors.
  • Resolve any discrepancies during the order acknowledgment process and ensure timely resolutions.
  • Communicate lead time delays to internal departments and manage the issue until it is resolved.
  • Track and monitor product orders, ensuring timely receipt and proper scheduling of deliveries.
  • Coordinate and prepare necessary documentation for delivery, installation, and service requests.
  • Maintain and update punch lists, ensuring all outstanding items are tracked and resolved.
  • File and manage claims from start to resolution.
  • Review and process completed orders for invoicing, ensuring invoices are generated upon delivery and installation.

Job Skills Required:

  • Strong ability to work efficiently under tight deadlines while maintaining attention to detail.
  • Ability to work independently and collaborate effectively within a team.
  • Familiarity with order entry systems and database management (preferred).
  • Experience with specification software such as CET, CAP 2020, or Project Matrix is a plus.
  • Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook).
  • Excellent communication skills, both verbal and written.
