Overview:

We’re looking for an Accounts Receivable / Billing Specialist with solid experience in construction accounting to join a fast-paced and detail-driven environment. This role focuses on handling client invoicing, payment tracking, and lien-related documentation to ensure timely collections and compliance with industry-specific requirements. The ideal candidate brings a strong understanding of Florida construction law, excellent organizational skills, and the ability to communicate effectively across departments.

 


Responsibilities:

  • Generate and submit client invoices based on contract terms, deliverables, and billing schedules.

  • Monitor outstanding balances and follow up with clients to ensure prompt payment.

  • Support the AR Manager in collection efforts across various departments.

  • Work closely with project teams to collect and organize necessary documentation for billing.

  • Oversee and manage documentation related to Notices to Owner (NTOs), waivers, and lien releases.

  • Prepare and process Pay Applications (PayApps) and related billing forms commonly used in construction.

  • Reconcile AR accounts to maintain accurate and up-to-date financial records.

  • Assist with internal and external audits by providing relevant AR data and support.

  • Recommend and help implement process improvements to enhance AR and billing efficiency.

 


Qualifications:

  • Bachelor’s degree in Accounting, Finance, or a related field (preferred).

  • Prior experience handling AR functions in the commercial construction industry is required.

  • In-depth understanding of Florida lien laws and related compliance processes.

  • Experience with lien rights, including managing and submitting NTOs, waivers, and lien releases.

  • Comfortable working with PayApps and construction progress billing systems.

  • Holds an active Notary Public license.

  • Proficient in Microsoft Office (especially Excel); knowledge of ERP/accounting systems is a plus.

  • Strong attention to detail and ability to manage competing priorities with accuracy.

  • Excellent verbal and written communication skills and a team-oriented mindset.
