AP Associate (392008AK)

Contract
Oversee and perform full-cycle accounts payable functions within a shared services environment, ensuring accuracy, compliance, and prompt payment to vendors. Provide exemplary service and support to internal stakeholders and external partners.
Key Duties & Responsibilities
- Supervise and manage day-to-day AP operations, including invoice processing, payment scheduling, and staff oversight (if Supervisor level)
- Process vendor invoices, checks, ACH/transfers, and virtual card payments; coordinate check runs and electronic disbursements
- Conduct 2- and 3-way matches of purchase orders, receipts, and invoices; GL-code transactions accurately
- Manage invoice holds and resolve discrepancies to ensure timely payment cycles
- Reconcile vendor statements and assist with monthly/annual GL account reconciliations
- Prepare and deliver AP-related reports to management, including payment status, aging summaries, and process metrics
- Coordinate and support external audits, including preparation of schedules and documentation for the annual audit
- Maintain strong internal control compliance (e.g., SOX), and contribute to the development and updating of AP policies and SOPs
- Provide excellent customer service-responding to vendor inquiries and collaborating across accounting, procurement, and operations teams
- Evaluate current processes and recommend improvements to enhance efficiency and scalability
Qualifications & Skills
- High school diploma or GED required; Associate's degree in Accounting or Finance preferred
- 3-5 years of AP experience; 2+ years in a supervisory or lead role (for Supervisor position)
- Proficiency with Microsoft Excel and ERP systems; strong data-entry accuracy
- Deep understanding of AP best practices, including invoice matching, reconciliation, and internal controls
- Excellent communication skills-verbal and written-for internal stakeholder interactions and vendor communications
- Ability to meet stringent financial deadlines and maintain a collaborative, "servant leadership" mindset
