Front Desk Receptionist / Office Assistant

About the Role

We are seeking a friendly, organized, and reliable Front Desk Receptionist / Office Assistant to be the first point of contact for our law firm. This person will create a welcoming environment for clients, manage day-to-day front desk operations, and support the office with light administrative tasks. If you enjoy helping people, keeping things running smoothly, and being the “heartbeat” of the office, we’d love to meet you.


Key Responsibilities

Client & Front Desk Support

  • Greet clients and visitors warmly, creating a positive first impression.

  • Answer, screen, and route incoming phone calls in a professional manner.

  • Buzz clients and visitors into the office and manage front door access.

  • Assist clients with check-in and direct them to meeting rooms or staff.

Office Operations

  • Sort, distribute, and prepare outgoing mail.

  • Maintain cleanliness and organization in common areas, including reception, conference rooms, and breakrooms.

  • Restock snacks, beverages, and general office supplies as needed.

  • Coordinate with vendors or building management when required.

  • Support staff with small tasks such as copying, scanning, or filing.

Administrative Assistance

  • Provide basic administrative support to attorneys and office management.

  • Assist with scheduling, message taking, or other clerical activities as assigned.

  • Help ensure daily office operations run smoothly and efficiently.


Qualifications

  • Prior experience as a receptionist, office assistant, or administrative professional preferred (law firm experience a plus, but not required).

  • Warm, friendly, and professional demeanor.

  • Strong communication and customer service skills.

  • Comfortable answering phones and interacting with clients.

  • Reliable, punctual, and detail-oriented.

  • Ability to multitask and stay organized in a busy environment.

  • Proficiency with basic office technology (phones, email, printers, scanners).
