Legal Administrative Assistant
This is a full-time, in-office position with a fixed schedule from 8:30 AM to 5:00 PM, Monday through Friday. Bilingual Spanish/English fluency is required.
Key Responsibilities

Conduct pre-screenings for applicants seeking immigration services.

Schedule appointments and maintain an accurate, up-to-date office calendar.

Greet and check in clients in a professional and friendly manner.

Support client casework by answering incoming calls, making outgoing calls, emailing clients, returning messages, directing calls, and preparing correspondence.

Copy, scan, and organize documents provided by clients.

Utilize telephonic interpreter services when needed and provide in-person Spanish/English interpretation for staff.

Assist with entering and opening new cases in the case management system.

Help with file organization, including preparing files to be closed.

Perform general administrative tasks such as data entry, filing, copying, and maintaining office organization.

Manage incoming and outgoing mail, packages, and deliveries.

Carry out additional duties as assigned to support office operations and workflow.
Minimum Qualifications

Fluent in Spanish and English (verbal and written).

Strong computer proficiency, including experience with Microsoft Office 365.

Ability to work effectively in a fast-paced environment with frequent client interaction.

Experience handling high call volumes and managing busy front-desk responsibilities.

Prior experience in immigration services or legal support preferred but not required.

At least 1 year of experience as a receptionist, administrative assistant, guest services specialist, or similar role preferred.

Strong communication skills, attention to detail, and ability to multitask.
