JOB DUTIES & RESPONSIBILITIES (Rewritten)

• Conduct preliminary screenings for individuals seeking immigration services, schedule client appointments, and maintain an accurate, up-to-date office calendar.

• Welcome visitors, check in applicants, and ensure a positive and organized front-office experience.

• Support casework by managing incoming calls, returning client calls/emails, drafting correspondence, relaying messages to case handlers, and preparing client documents.

• Utilize telephonic interpreter services as needed and provide Spanish–English interpretation for staff members when required.

• Assist with the creation and entry of new cases in JALA Legal Server and support the organization and closing of case files.

• Perform general administrative tasks including data entry, copying, filing, scanning, and other office support functions.

• Manage incoming and outgoing mail and coordinate deliveries to ensure timely distribution.

• Carry out additional duties or special projects as assigned by the Director.

MINIMUM QUALIFICATIONS (Rewritten)

• Bilingual fluency in Spanish and English is required.

• Strong computer proficiency, including experience with Microsoft Office 365 and general office technology.

• Ability to thrive in a fast-paced environment with significant client contact and frequent multitasking.

• Experience handling high-volume phone calls and managing challenging or fast-moving situations professionally.

• Prior experience in immigration law is highly preferred but not mandatory.

• At least one (1) year of experience in a receptionist, administrative assistant, guest services, or similar client-facing role is preferred.
