JOB DUTIES & RESPONSIBILITIES (Rewritten)

Conduct preliminary screenings for individuals seeking immigration services, schedule client appointments, and maintain an accurate, up-to-date office calendar.

Welcome visitors, check in applicants, and ensure a positive and organized front-office experience.

Support casework by managing incoming calls, returning client calls/emails, drafting correspondence, relaying messages to case handlers, and preparing client documents.

Utilize telephonic interpreter services as needed and provide Spanish–English interpretation for staff members when required.

Assist with the creation and entry of new cases in JALA Legal Server and support the organization and closing of case files.

Perform general administrative tasks including data entry, copying, filing, scanning, and other office support functions.

Manage incoming and outgoing mail and coordinate deliveries to ensure timely distribution.

Carry out additional duties or special projects as assigned by the Director.
MINIMUM QUALIFICATIONS (Rewritten)

Bilingual fluency in Spanish and English is required.

Strong computer proficiency, including experience with Microsoft Office 365 and general office technology.

Ability to thrive in a fast-paced environment with significant client contact and frequent multitasking.

Experience handling high-volume phone calls and managing challenging or fast-moving situations professionally.

Prior experience in immigration law is highly preferred but not mandatory.

At least one (1) year of experience in a receptionist, administrative assistant, guest services, or similar client-facing role is preferred.
