Job Title: Accounts Receivable (AR) Accountant / Biller – Government Grants Specialist

Position Summary

The Accounts Receivable (AR) Accountant/Biller with Government Grants experience is responsible for managing the full cycle of billing, receivables tracking, and grant-related financial compliance. This role ensures accurate invoicing, timely collection of payments, and proper financial reporting for government-funded programs. The ideal candidate has strong analytical skills, a deep understanding of grant regulations, and the ability to balance routine billing tasks with compliance-driven grant accounting responsibilities.


Key Responsibilities

Accounts Receivable & Billing

  • Prepare and issue accurate and timely invoices for all clients, contracts, and grant-funded projects.

  • Monitor outstanding receivables, follow up on past-due accounts, and maintain AR aging reports.

  • Reconcile customer accounts and resolve discrepancies in billing or payments.

  • Record, apply, and track incoming payments in accordance with accounting policies.

  • Assist with month-end and year-end closing activities related to AR.

Government Grant Accounting

  • Review grant agreements to understand allowable costs, billing structures, reimbursement rules, and reporting obligations.

  • Prepare detailed grant billing submissions, reimbursement requests, and financial documentation.

  • Track expenditures against grant budgets and ensure compliance with federal, state, and local grant guidelines (e.g., OMB Uniform Guidance).

  • Maintain organized and audit-ready grant files, supporting documentation, and financial records.

  • Assist with grant audits, financial monitoring, and compliance reviews.

Financial Reporting & Compliance

  • Generate AR, billing, and grant-related reports for management and program teams.

  • Ensure accounting practices comply with GAAP and all applicable government regulations.

  • Identify opportunities to streamline billing, AR workflows, and grant financial processes.

  • Collaborate with program managers and finance leads to ensure accurate grant spending and reporting.


Qualifications

Required

  • Associate’s or Bachelor’s degree in Accounting, Finance, or related field.

  • 2–5 years of experience in Accounts Receivable, billing, or general accounting.

  • Demonstrated experience working with government grants, including billing and compliance.

  • Strong understanding of grant reimbursement processes and cost principles (e.g., Uniform Guidance).

  • Proficiency with accounting software (QuickBooks, NetSuite, Sage, or similar).

  • Strong Excel skills (VLOOKUP, PivotTables, reconciliations).

  • Excellent attention to detail, organization, and time-management skills.

Preferred

  • Experience in nonprofit, government-funded programs, healthcare, or education industries.

  • Knowledge of fund accounting principles.

  • Familiarity with federal, state, and municipal grant compliance requirements.
