Job Summary

The Office Administrator (Certified Payroll) is responsible for managing daily office operations while ensuring accurate and compliant certified payroll processing. This role supports field operations, accounting, and leadership by maintaining payroll records, coordinating administrative functions, and ensuring compliance with federal, state, and local labor regulations.

Key Responsibilities

  • Process weekly certified payroll in compliance with federal, state, and local regulations (including prevailing wage and Davis-Bacon requirements)

  • Prepare, submit, and maintain certified payroll reports for government and public works projects

  • Verify employee classifications, wage rates, fringe benefits, and hours worked

  • Coordinate timecard collection, review, and corrections with field supervisors

  • Maintain payroll records, employee files, and job cost documentation

  • Respond to payroll and compliance inquiries from employees, contractors, and agencies

  • Support accounts payable and accounts receivable functions as needed

  • Perform general office administrative duties including filing, data entry, document management, and correspondence

  • Assist with onboarding, employee documentation, and compliance tracking

  • Support audits, labor compliance reviews, and project closeout documentation

Qualifications

  • High school diploma or equivalent required; associate’s degree preferred

  • Certified Payroll Professional (CPP) or demonstrated certified payroll experience required

  • 3+ years of experience in office administration with certified payroll processing

  • Strong knowledge of prevailing wage laws and labor compliance requirements

  • Experience with payroll systems and timekeeping software

  • Proficiency in Microsoft Office, especially Excel

  • Strong attention to detail and organizational skills

  • Ability to manage multiple priorities and meet strict deadlines

  • Excellent communication and problem-solving skills
