Position Summary
The HRIS / Payroll Specialist is responsible for the administration, maintenance, and optimization of Human Resources Information Systems (HRIS) and payroll operations. This role ensures data integrity, system efficiency, compliance with federal and state regulations, and accurate, timely payroll processing. The specialist serves as a key liaison between HR, Finance, IT, and external vendors to support workforce data management and reporting needs.
Key Responsibilities
HRIS Administration

Manage day-to-day administration of HRIS platforms, including employee records, job data, compensation, benefits, and organizational structures.

Ensure data accuracy, integrity, and confidentiality across all HR systems.

Configure, test, and implement system updates, enhancements, and new modules.

Develop and maintain HRIS documentation, workflows, and standard operating procedures.

Serve as the primary point of contact for HRIS-related issues, troubleshooting, and user support.

Partner with IT and vendors on system integrations, upgrades, and security protocols.
Payroll Administration
-
Process multi-state, multi-cycle payroll accurately and on schedule.

Audit payroll data to ensure compliance with company policies and applicable wage and hour laws.

Manage payroll adjustments, off-cycle payments, bonuses, commissions, and retroactive pay.

Coordinate payroll tax filings, reconciliations, and year-end processes (W-2s, audits).

Respond to employee payroll inquiries and resolve discrepancies in a timely manner.
Compliance & Reporting

Ensure compliance with federal, state, and local labor laws and reporting requirements.

Generate standard and ad hoc HR and payroll reports to support audits, budgeting, and workforce analytics.

Support internal and external audits by providing accurate system data and documentation.

Monitor regulatory changes impacting payroll and HR systems and recommend updates as needed.
Process Improvement

Identify opportunities to streamline HRIS and payroll processes through automation and system enhancements.

Support HR initiatives such as open enrollment, performance cycles, and organizational changes through system configuration and reporting.

Train HR staff and end users on system functionality and best practices.
Qualifications
Required
-
Bachelor’s degree in Human Resources, Accounting, Business Administration, or a related field, or equivalent experience.

3–5 years of experience in HRIS and payroll administration.

Hands-on experience with enterprise HRIS and payroll systems (e.g., Workday, ADP, UKG, SAP, Oracle, or similar).

Strong knowledge of payroll laws, tax regulations, and HR compliance requirements.

Advanced proficiency in Excel and HR data reporting.
Preferred
-
Experience supporting a manufacturing or highly regulated environment.

Multi-state payroll experience.

HRIS or payroll certification (CPP, PHR, SHRM-CP, or system-specific certifications).

Experience with system implementations or upgrades.
