About the Opportunity

We are seeking a detail-oriented Accounting Clerk/ Specialist to support Accounts Payable and Accounts Receivable functions in a fast-paced environment. This role is responsible for processing payments, managing check runs, tracking invoices, and maintaining accurate financial records. The ideal candidate is organized, reliable, and comfortable working with multiple deadlines while ensuring accuracy and compliance.

Key Responsibilities

Cash Receipts & Payment Processing

  • Record incoming cash receipts and prepare batches for review and posting
  • Assist with posting manual payments including wires, ACH, and online payments
  • Maintain accurate records of financial transactions

Check Processing & Mail Distribution

  • Assist with weekly check runs, including online and paper checks
  • Print, assemble, and mail checks according to established procedures
  • Track payments to ensure timely and accurate processing
  • Prepare outgoing mail and required documentation

Billing, Allocations & Charge Processing

  • Process billing charge batches and ensure proper allocation
  • Apply credits and assist with vendor billbacks and adjustments
  • Support allocation tracking and reconciliation activities

Invoice Processing & Tracking

  • Code and route invoices through accounting systems
  • Monitor invoice approvals and ensure timely payment processing
  • Maintain organized and accurate accounting records

Reporting & Payment Tracking

  • Maintain tracking logs for billing, payments, and financial activity
  • Assist with reconciliations, reporting, and audit preparation
  • Track payments and ensure proper documentation

Qualifications

  • Associate degree in accounting or related field preferred
  • 1–3 years of accounting, accounts payable, or related experience
  • Experience with invoice processing, check processing, and payment tracking
  • Experience with accounting systems such as Avid, AvidPay, or similar is a plus
  • Real Estate or Property Management accounting experience is a strong plus, but not required
  • Proficiency in Microsoft Excel and spreadsheet tracking
  • Strong attention to detail and organizational skills
  • Ability to manage multiple priorities in a fast-paced environment

Work Environment

  • Fully onsite role
  • Monday through Friday schedule, 9:00 AM – 5:30 PM
