About the Role

A dynamic and growing organization within the  performing arts sector is seeking a highly organized and detail-oriented Administrative Assistant /  to support senior leadership and assist with day-to-day office operations. This role is ideal for someone who thrives in a fast-paced, creative environment and enjoys balancing administrative coordination with light bookkeeping responsibilities.

The position requires availability during standard afternoon/evening business hours, with occasional flexibility based on performance or event schedules.


Responsibilities

Executive & Administrative Support

  • Provide direct administrative support to executive leadership

  • Manage calendars, coordinate meetings, and schedule appointments

  • Prepare correspondence, reports, and internal documents

  • Handle phone calls, email communications, and general inquiries

  • Maintain organized digital and physical filing systems

  • Assist with event coordination and administrative logistics

Office Operations

  • Oversee general office organization and supplies

  • Coordinate vendor communication and service providers

  • Support internal team communication and workflow coordination

Light Bookkeeping

  • Assist with accounts payable and accounts receivable processing

  • Track expenses and reconcile credit card statements

  • Prepare invoices and maintain financial records

  • Support payroll processing coordination as needed

  • Work with external accountants/bookkeepers to ensure accurate reporting


Qualifications

  • 2+ years of administrative or executive assistant experience

  • Experience in theater, performing arts, live events, or entertainment environments preferred

  • Familiarity with basic bookkeeping principles and financial recordkeeping

  • Proficiency in Microsoft Office (Word, Excel, Outlook); experience with QuickBooks or similar software preferred

  • Strong organizational and time-management skills

  • Ability to handle confidential information with professionalism

  • Clear written and verbal communication skills

  • Comfortable working in a fast-paced, creative environment

  • High attention to detail and ability to manage multiple priorities


Preferred Skills

  • Prior experience supporting senior leadership

  • Exposure to event production or theater operations

  • Experience managing scheduling tied to performances or public events
