Ascendo Resources is partnering with a highly regarded law firm client that is seeking an experienced Billing Specialist to join its Accounting & Finance team in Charlotte.

This role plays a key part in delivering accurate, timely billing support while ensuring a high level of service to attorneys and clients.

This is a non-exempt position reporting to the Billing & AP Manager, with a standard 37.5-hour workweek and occasional overtime as needed.  This position offers a hybrid schedule after initial training period.

Key Responsibilities

  • Prepare, review, and process client invoices with accuracy and efficiency for an assigned group of attorneys
  • Analyze billing data, make necessary adjustments, and ensure all required details are complete prior to distribution
  • Coordinate with clients on invoice setup, submission, and electronic billing processes
  • Monitor invoice submissions to ensure compliance with client guidelines and resolve any issues promptly
  • Upload and reconcile cost data, investigate discrepancies, and ensure expenses are recorded accurately
  • Respond to billing inquiries from internal and external stakeholders in a professional and timely manner
  • Generate reports and maintain accurate billing records
  • Assist with bank reconciliations and provide backup support for other accounting functions
  • Identify opportunities to improve billing processes and enhance efficiency
  • Support special projects and additional accounting tasks as needed

Qualifications

  • High school diploma or GED required; additional education is a plus
  • Minimum of 5+ years of accounting experience within the legal industry or equivalent experience
  • Prior law firm billing experience strongly preferred
  • Experience with legal billing platforms such as Elite/3E or similar systems preferred
  • Hands-on experience with e-billing systems (e.g., Serengeti, Tymetrix 360, CounselLink) required
  • Strong attention to detail with the ability to work quickly and accurately
  • Excellent organizational skills with the ability to manage multiple priorities and deadlines
  • Proficiency in Microsoft Office (Word, Excel, Outlook)
  • Strong communication and interpersonal skills
  • Team-oriented mindset with a willingness to support colleagues during high-volume periods
