Accounts Receivable Manager (A/R Specialist)

Job Summary

The Accounts Receivable Specialist is responsible for ensuring the steady influx of company revenue by managing the billing, collections, and cash application processes. This role balances strong customer service skills with firm collections strategies to minimize outstanding bad debt and optimize cash flow.

Key Responsibilities

  • Billing & Invoicing: Generate and distribute accurate, timely invoices and credit memos to customers based on contracts and sales orders.

  • Cash Application: Post daily customer payments received via ACH, checks, credit cards, or wire transfers to the correct ledger accounts.

  • Collections Management: Monitor aging accounts receivable reports and proactively contact delinquent accounts to secure payment.

  • Dispute Resolution: Investigate and resolve customer billing discrepancies, deductions, or short-payments by collaborating with sales and account management teams.

  • Reporting: Maintain and update A/R aging logs and provide regular updates to management on high-risk accounts.

Qualifications & Requirements

  • Education: High school diploma required; Associate’s degree in Accounting or a related field preferred.

  • Experience: 4+ years of experience in collections, billing, or accounts receivable.

  • Skills: Excellent verbal and written communication skills; strong negotiation and conflict-resolution abilities; familiarity with customer portals and accounting software.
