Are you experienced in coordinating service operations, managing customer service agreements, and keeping field teams organized? We are looking for a Field Service Administrative Support Specialist to support service operations by managing maintenance schedules, service contracts, work orders, and billing processes.
This role is ideal for someone who enjoys working with customers, technicians, contracts, and internal teams to ensure service commitments are delivered accurately and efficiently.
What You'll Do
- Review customer service agreements and understand contract requirements, including scheduled maintenance commitments
- Coordinate and schedule recurring service visits including monthly and quarterly preventative maintenance
- Manage service requests and communicate with customers and field service technicians
- Ensure work orders are accurately created, updated, completed, and closed
- Validate service information to support accurate billing and invoicing
- Review contracts to ensure invoices align with customer agreements and service requirements
- Research and resolve billing discrepancies, documentation issues, and service-related questions
- Support field technicians with parts, supplies, tools, and administrative needs
- Coordinate with purchasing and internal teams to ensure service needs are met
- Process billing adjustments, credit memos, and re-billing requests as needed
- Maintain service documentation, agreements, and operational records
- Assist with onboarding/offboarding paperwork and team updates
- Audit service orders and ensure accuracy throughout the service lifecycle
Qualifications
- 2+ years of experience in field service administration, service coordination, customer operations, scheduling, or similar support role
- Experience managing service agreements, maintenance contracts, or recurring service schedules preferred
- Strong attention to detail with billing, invoices, and documentation
- Excellent organizational and communication skills
- Ability to coordinate across customers, technicians, and internal departments
- Proficiency with Microsoft Office, especially Excel
- Experience with ERP, CRM, or field service management systems preferred (D365, SAP, NAV, or similar)
