Position Overview

We are seeking a detail-oriented and highly organized Contract Assistant to support our Commercial Lighting Division. This role will work closely with the outside sales team, assisting with project coordination, order management, blueprint takeoffs, vendor communication, and customer support throughout the project lifecycle.

The ideal candidate is computer savvy, possesses strong organizational skills, and enjoys working in a fast-paced environment where accuracy and communication are critical to success.

Key Responsibilities

  • Support the outside commercial lighting sales representative with project coordination and administrative tasks.

  • Review electrical drawings and blueprints to perform lighting fixture takeoffs and counts for commercial projects.

  • Enter and process customer orders accurately and efficiently.

  • Monitor existing orders and track backorder status.

  • Communicate regularly with contractors regarding order updates, shipment timelines, and project status.

  • Prepare lighting submittal packages for contractor and customer review.

  • Review approved submittals to ensure products ordered align with project specifications and customer expectations.

  • Coordinate with manufacturers and vendors regarding inventory availability, lead times, and shipping schedules.

  • Maintain accurate project records and documentation throughout the order process.

  • Assist with general project management activities to ensure timely and successful project completion.

Qualifications

  • Previous experience in project coordination, customer service, inside sales support, construction administration, electrical distribution, lighting, or a related field preferred.

  • Ability to read and interpret blueprints, electrical drawings, and project specifications.

  • Strong computer skills with proficiency in Microsoft Excel, PDF editing/manipulation, and general office software.

  • Experience with Bluebeam software is highly preferred.

  • Excellent organizational skills and attention to detail.

  • Strong written and verbal communication skills.

  • Ability to manage multiple projects and deadlines simultaneously.

  • Professional and customer-focused demeanor when interacting with contractors, vendors, and internal teams.

Preferred Experience

  • Commercial lighting industry experience.

  • Electrical distribution or construction project support experience.

  • Blueprint takeoff experience.

  • Vendor and contractor coordination experience.
