Position Overview
A small commercial real estate management and investment office in Weston, FL is seeking an experienced Real Estate Operations & Accounting Manager to oversee the day-to-day administrative, accounting, and operational backbone of the office.
This is a hands-on role for a mature, organized, and highly reliable professional with strong bookkeeping, property accounting, and office operations experience. The ideal candidate will have a background working in a commercial real estate office, property management company, family office, or real estate investment environment and will be comfortable managing responsibilities across multiple entities, properties, tenants, vendors, banks, and investors.
Key Responsibilities
Accounting, Bookkeeping & Financial Administration
- Manage day-to-day bookkeeping functions across multiple commercial real estate entities.
- Process accounts payable, vendor invoices, bill payments, credit card payments, and check runs.
- Maintain accurate records of payments, deposits, expenses, and entity-level transactions.
- Coordinate payroll processing and related payroll documentation.
- Assist with sales tax filings, payments, and related compliance tracking.
- Perform bank reconciliations and maintain accurate cash activity records.
- Communicate with banks regarding account activity, documentation, wires, deposits, checks, and other banking matters.
- Maintain organized financial files, supporting documentation, and accounting records.
- Support month-end accounting activities and reporting needs.
- Ensure all financial transactions are properly coded, documented, and entered into accounting/property management systems.
- Work within QuickBooks and Yardi Voyager to support real estate accounting and property management workflows.
Commercial Real Estate Operations
- Maintain and update rent rolls for commercial real estate properties.
- Track tenant charges, rent payments, lease-related billing, reimbursements, and outstanding balances.
- Assist with tenant correspondence regarding rent, billing questions, lease-related matters, notices, maintenance coordination, and general property communication.
- Support property management administration, including tenant files, vendor files, lease documents, certificates of insurance, and property records.
- Coordinate with vendors, contractors, tenants, internal leadership, and outside service providers as needed.
- Assist with maintaining property-level records, contracts, invoices, insurance documents, and operational files.
- Help ensure commercial real estate office operations run smoothly and that key deadlines, payments, and correspondence are handled on time.
Investor, Entity & Administrative Support
- Assist with investor correspondence, documentation, reporting support, and general communication.
- Maintain organized records for multiple real estate entities, including entity documents, banking information, tax records, agreements, and files.
- Provide general executive and office support to ownership and internal team members.
- Manage administrative follow-up, document tracking, filing, scanning, and recordkeeping.
- Handle sensitive financial, tenant, investor, and business information with discretion and confidentiality.
- Support ad hoc projects related to real estate operations, accounting, banking, entity administration, and office management.
Required Qualifications
- 8–12+ years of relevant experience in accounting, bookkeeping, office operations, property management, or real estate administration.
- Prior experience working in a commercial real estate office is required.
- Experience managing or supporting rent rolls, tenant correspondence, bill payments, vendor payments, and property-level accounting.
- Strong bookkeeping, accounts payable, payroll coordination, and general accounting administration experience.
- QuickBooks experience is required.
- Yardi Voyager experience is required.
- Comfortable working across multiple real estate entities, properties, tenants, vendors, and bank accounts.
- Strong organizational skills with excellent attention to detail.
- Ability to work independently, prioritize responsibilities, and follow through without heavy supervision.
- Professional communication skills and the ability to interact with tenants, investors, banks, vendors, executives, and internal team members.
- High level of discretion, reliability, maturity, and trustworthiness.
- Strong file management, documentation, and recordkeeping skills.
- Comfortable in a small-office environment where responsibilities may be broad and hands-on.
Preferred Qualifications
- Experience in commercial property management, real estate investment, real estate ownership, or family office environments.
- Familiarity with lease administration, CAM reconciliations, tenant billing, vendor contracts, and entity-level accounting.
- Experience supporting owners, principals, executives, or small real estate investment teams.
- Ability to identify process gaps and improve administrative/accounting workflows.
- Strong working knowledge of Microsoft Excel, Outlook, and general office technology.
