Administrative Assistant / Dispatcher
Pay: $16.00–$17.00 per hour Schedule: Full-Time
Our client is seeking a detail-oriented and organized Administrative Assistant / Dispatcher to join their team. This position plays a key role in supporting daily office operations by providing administrative, dispatch, customer service, payroll, and scheduling support in a fast-paced environment. The ideal candidate is professional, dependable, and able to manage multiple priorities while maintaining a high level of accuracy.
Responsibilities
- Prepare sales quotes for customers.
- Answer incoming phone calls and provide exceptional customer service.
- Coordinate deliveries and pickups with the Operations Manager.
- Schedule and dispatch crews, equipment, and service vehicles to job sites.
- Process customer requests, update customer accounts, and resolve questions or concerns.
- Review and calculate drivers' daily activity sheets and required paperwork.
- Report payroll and certified payroll hours while assisting with compliance requirements.
- Receive, prepare, track, and maintain work orders, tickets, and related documentation.
- Perform data entry, filing, scanning, and maintain accurate electronic records.
- Assist with billing by confirming customer orders, reviewing invoice registers, and making necessary corrections.
- Order office, safety, and maintenance of traffic (MOT) supplies as needed.
- Support employee activities by preparing materials for safety meetings, open enrollment, EEO meetings, and assisting employees with benefits and employee portal access.
- Maintain organized records and communicate effectively with branch management, corporate staff, customers, and field personnel.
- Perform additional administrative duties as assigned.
Qualifications
- 1+ years of administrative experience in a construction, manufacturing, industrial, transportation, logistics, or dispatch environment preferred.
- 1+ years of experience with timesheets, certified payroll, payroll processing, or general human resources is preferred.
- High School Diploma or GED required.
- Strong customer service and communication skills.
- Proficiency with Microsoft Office, including Word, Excel, and Outlook.
- Excellent organizational, data entry, and multitasking skills.
- Ability to prioritize work and meet deadlines in a fast-paced office environment.
- Ability to work independently as well as collaboratively with a team.
Physical Requirements
- Ability to sit or stand for extended periods.
- Frequent use of a computer, telephone, keyboard, and other office equipment.
- Ability to occasionally lift up to 10 pounds.
- Ability to communicate effectively in English, both verbally and in writing.
- Vision and hearing sufficient to perform essential job duties with or without reasonable accommodation.
