Payroll Specialist

Location: Miami, FL 33132 (On-site)

Position Overview

We are seeking a detail-oriented Payroll Specialist to join our Human Resources team. This role is responsible for the accurate and timely processing of multi-state payroll while ensuring compliance with federal, state, and local payroll regulations. The ideal candidate will have experience managing high-volume payrolls, maintaining payroll records, resolving payroll discrepancies, and partnering with HR and Finance to deliver exceptional payroll support.

This position requires strong analytical skills, excellent attention to detail, and the ability to work in a fast-paced environment while maintaining the highest level of confidentiality.

Key Responsibilities

  • Process bi-weekly and/or weekly multi-state payroll accurately and on schedule for a large employee population.
  • Ensure payroll activities comply with all federal, state, and local payroll laws and regulations.
  • Maintain payroll records and employee payroll data, ensuring accuracy and confidentiality.
  • Process wage garnishments, child support orders, tax levies, and other payroll deductions.
  • Calculate and maintain paid time off (PTO), vacation, and other leave accruals.
  • Research and resolve payroll discrepancies and employee payroll inquiries in a timely manner.
  • Generate and analyze payroll reports, including headcount, PTO balances, new hires, terminations, and other payroll metrics.
  • Support payroll audits and assist with internal and external compliance reviews.
  • Partner with HR and Finance to ensure accurate employee records and payroll changes.
  • Assist in developing and improving payroll procedures, documentation, and process efficiencies.
  • Troubleshoot payroll system issues and coordinate with system administrators or vendors as needed.
  • Cross-train team members and provide payroll support across multiple locations.
  • Perform additional payroll and HR-related duties as assigned.

Qualifications

Required

  • Associate's degree in Business Administration, Human Resources, Finance, Accounting, or a related field, or equivalent payroll experience.
  • Minimum of 3 years of experience processing full-cycle, multi-state payroll for 200+ employees.
  • Strong knowledge of payroll laws, Department of Labor regulations, wage and hour requirements, payroll taxes, and compliance.
  • Experience processing garnishments, child support orders, tax levies, and other involuntary deductions.
  • Advanced Microsoft Excel skills, including Pivot Tables, VLOOKUP/XLOOKUP, IF statements, COUNTIFS, Conditional Formatting, and reporting.
  • Strong analytical, organizational, and problem-solving skills.
  • Excellent attention to detail with the ability to meet strict payroll deadlines.
  • Advanced communication skills in English and Spanish.
  • Ability to maintain confidentiality while handling sensitive payroll information.
  • Strong interpersonal skills with the ability to work independently and collaborate across departments.

Preferred Qualifications

  • Experience with ADP Workforce Now, ADP Enterprise, or UKG (Ultimate Kronos Group) payroll systems.
  • Experience supporting payroll audits and compliance reporting.
  • Knowledge of HRIS systems and payroll process improvements.
