Bilingual Contractor Relations Coordinator

Location: Jacksonville, Florida
Schedule: Monday through Friday, 8:00 AM to 5:00 PM
Work Model: Onsite
Compensation: $22-$24/hr.

Position Overview:

A Jacksonville-based commercial facilities services organization is seeking a Bilingual Contractor Relations Coordinator to support its network of independent contractor businesses.

This position is responsible for identifying and qualifying new contractors, coordinating onboarding and compliance requirements, maintaining accurate contractor records, and supporting ongoing contractor relationships. The role works closely with Human Resources, Operations, Accounting, and Sales to ensure contractors are prepared to support client accounts successfully.

This is a hands-on coordination role that combines contractor sourcing, onboarding, compliance administration, relationship management, and operational support. Professional fluency in both English and Spanish is required.

Key Responsibilities:

  • Identify and engage independent contractors capable of providing commercial cleaning and related facility services.
  • Conduct initial contractor screenings and qualification conversations in both English and Spanish.
  • Coordinate contractor onboarding, agreements, insurance documentation, compliance requirements, and account activation.
  • Maintain an active contractor pipeline to support current accounts and future service needs.
  • Keep contractor records, CRM stages, dashboards, account information, and electronic files accurate and current.
  • Coordinate contractor start dates, account assignments, payment information, and operational handoffs.
  • Support contractor compliance reviews, audits, renewals, and document follow-up.
  • Gather Operations input connected to contractor payments and monthly contractor Pay Day activities.
  • Maintain ongoing contractor relationships through regular communication, issue resolution, referral programs, appreciation activities, and events.
  • Coordinate with Operations, Accounting, Sales, and Human Resources to resolve contractor-related needs.
  • Support contractor uniforms, equipment, supplies, inventory, meetings, and other administrative activities.
  • Assist with contractor communications, referral initiatives, and related outreach efforts.

Qualifications:

  • Professional verbal fluency in both English and Spanish is required.
  • Experience supporting contractors, vendors, subcontractors, field employees, or another service-based workforce.
  • Experience with recruiting, contractor sourcing, staffing, vendor onboarding, workforce coordination, or a related function.
  • Demonstrated ability to manage onboarding documents, agreements, credentials, insurance records, compliance files, or other accuracy-sensitive documentation.
  • Experience maintaining information in a CRM, ATS, vendor-management system, database, or structured tracking process.
  • Strong organizational skills and attention to detail.
  • Clear written and verbal communication skills.
  • Ability to manage multiple active contractors, deadlines, documents, and follow-up items.
  • Comfortable working across departments and independently moving processes forward.
  • Proficiency with Microsoft Office.
  • Reliable transportation is required.
  • Bachelor’s degree is preferred but not required.

Preferred Experience:

  • Independent contractor, subcontractor, or vendor coordination.
  • Commercial cleaning, facilities services, construction, restoration, property services, home services, staffing, logistics, or another field-service environment.
  • Contractor or vendor compliance, including certificates of insurance, agreements, credentials, or renewal tracking.
  • Contractor payment, vendor invoice, payroll-input, or service-activation coordination.
  • Experience supporting retention, referrals, contractor engagement, or ongoing relationship-management programs.
  • Experience working in a growing, branch-based, franchise, or multi-departmental service organization.

What Success Looks Like:

The successful candidate will maintain a dependable pipeline of qualified contractors, keep onboarding and compliance records current, communicate effectively with both English-speaking and Spanish-speaking contractor businesses, and ensure contractor starts and account transitions are coordinated accurately.
