Bilingual Workforce Operations Coordinator

Full-Time | Monday–Friday, 8:00 AM–5:00 PM


On-Site Position

We are seeking a highly organized, relationship-driven Bilingual Workforce Operations Coordinator to manage and support a large network of independent contractors.

This is not a traditional HR or corporate recruiting position. While the role does include identifying, interviewing, and onboarding new contractors, the primary focus is workforce coordination, contractor management, compliance, operational support, documentation, and contractor engagement.

The ideal candidate enjoys working with people but is equally strong at managing details, solving day-to-day operational issues, maintaining accurate records, and ensuring contractors are ready and available when needed.

What You’ll Be Responsible For

Independent Contractor Coordination

  • Serve as a primary point of contact for independent contractors throughout their relationship with the organization.

  • Coordinate new contractor setup, onboarding, documentation, agreements, and start dates.

  • Maintain an active and reliable pool of contractors to support ongoing business needs.

  • Track contractor availability, status, documentation, and assignment readiness.

  • Communicate regularly with contractors regarding assignments, requirements, documentation, and operational updates.

  • Help resolve contractor questions and day-to-day issues quickly and professionally.

Workforce Sourcing & Onboarding

  • Identify and engage potential independent contractors as workforce needs arise.

  • Conduct initial conversations and interviews to determine qualifications, availability, and fit.

  • Maintain a pipeline of qualified contractors for upcoming assignments.

  • Coordinate onboarding from initial contact through activation.

  • Support referral programs and other initiatives designed to expand the contractor network.

Recruiting is one component of this position, but this is not a traditional Talent Acquisition role.

Operations Support

  • Partner closely with Operations to ensure sufficient contractor coverage for upcoming projects and assignments.

  • Coordinate contractor check-in and assignment-related activities.

  • Monitor workforce needs and proactively identify potential coverage gaps.

  • Maintain accurate contractor and assignment information within internal systems.

  • Assist with contractor compensation documentation and coordination with internal departments.

  • Support contractor events and other workforce-related activities.

Compliance & Documentation

  • Collect, review, and maintain required contractor documentation.

  • Track missing, incomplete, or expiring documents.

  • Conduct routine contractor compliance reviews.

  • Maintain organized electronic contractor files.

  • Ensure contractor agreements and assignment-related documentation are completed accurately.

  • Support internal audits and documentation requirements.

  • Maintain accurate information within CRM and database systems.

Contractor Engagement & Retention

  • Build strong relationships with contractors to encourage engagement and retention.

  • Coordinate contractor appreciation and recognition initiatives.

  • Manage referral programs and contractor communications.

  • Help create a positive contractor experience from onboarding through ongoing assignments.

  • Proactively address contractor concerns that could impact retention or availability.

Qualifications

  • Previous experience coordinating employees, contractors, field personnel, temporary workers, or another high-volume workforce.

  • Strong organizational skills with the ability to manage multiple people, deadlines, and priorities simultaneously.

  • Excellent follow-up and attention to detail.

  • Strong interpersonal skills and the ability to build relationships with a wide variety of personalities.

  • Comfortable speaking with prospective contractors and evaluating basic qualifications.

  • Experience with onboarding, compliance documentation, scheduling, or workforce administration.

  • Strong written and verbal communication skills.

  • Bilingual communication skills strongly preferred.

  • Proficiency with Microsoft Office.

  • Experience working in CRM, workforce management, ATS, HRIS, or similar database systems.

  • Comfortable learning new technology and maintaining accurate system records.

  • Bachelor’s degree preferred but not required for candidates with relevant experience.

  • Reliable transportation required.
