Equipment Compliance Specialist

Position Summary

We are seeking a detail-oriented Equipment Compliance Specialist to support the compliance, safety, and operational readiness of commercial transportation equipment. This position will monitor equipment records, verify regulatory requirements, coordinate inspections and documentation, and work with internal teams, drivers, and equipment owners to ensure vehicles remain compliant and operational.

The ideal candidate is highly organized, comfortable working with detailed records, and able to manage multiple compliance requirements and deadlines in a fast-paced transportation environment.

Key Responsibilities

• Monitor and maintain accurate records for commercial transportation equipment

• Review equipment documentation to ensure required information is complete and current

• Track vehicle inspections, registrations, permits, certifications, and expiration dates

• Coordinate and follow up on required equipment inspections and repairs

• Review inspection reports and identify items requiring corrective action

• Communicate with drivers, contractors, equipment owners, maintenance providers, and internal departments regarding compliance requirements

• Follow up on missing, expired, or incomplete documentation

• Maintain electronic compliance records and update equipment information in internal systems

• Ensure equipment meets applicable company, federal, state, and local requirements

• Assist with audits by gathering and organizing equipment documentation

• Research compliance discrepancies and work toward timely resolution

• Generate reports related to equipment status, inspections, documentation, and compliance

• Escalate unresolved compliance issues to appropriate personnel

• Maintain confidentiality and accuracy when handling operational and regulatory information

• Perform other administrative and compliance-related duties as assigned

Qualifications

• 1–3+ years of experience in transportation, fleet administration, equipment compliance, safety, logistics, or a related field

• Strong administrative and organizational skills

• High attention to detail and accuracy

• Ability to manage multiple deadlines and priorities

• Strong written and verbal communication skills

• Proficiency with Microsoft Office, particularly Excel

• Ability to learn and navigate compliance, fleet, and transportation management systems

• Strong problem-solving and follow-up skills

• High school diploma or equivalent required

Preferred Experience

• Commercial trucking or fleet experience

• Knowledge of DOT/FMCSA requirements

• Experience with vehicle inspections and maintenance records

• Experience tracking registrations, permits, and certifications

• Experience working with owner-operators, contractors, or third-party transportation providers

• Familiarity with transportation compliance software or fleet management systems

• Previous experience supporting regulatory audits

This person should be comfortable communicating with multiple stakeholders, following up on outstanding items, and maintaining accurate records across a large equipment fleet.
