We are currently seeking an Accounts Payable (AP) Coordinator and Office Administrator for one of our clients, a reputable Property Management and Commercial Real Estate Development firm located in Miami, FL. This is an in-office position that combines responsibilities in Accounts Payable (AP) and Office Administration, ensuring efficient financial management and smooth daily operations. The ideal candidate must have experience with Yardi and strong organizational skills.
Key Responsibilities:
Accounts Payable (AP) Responsibilities:

Review, code, and process vendor invoices in Yardi, maintaining accuracy and compliance with company policies.

Manage the full AP cycle, including invoice approvals, payment processing, and account reconciliations.

Maintain and update vendor records, verify W-9s, and ensure proper documentation for 1099 reporting.

Reconcile vendor statements, research, and resolve any discrepancies.

Support month-end closing tasks, including preparing AP reports and reconciling accounts.

Collaborate with property managers and other departments to address invoice or payment inquiries.

Ensure compliance with internal controls and accounting standards.
Office Administration Responsibilities:

Provide comprehensive administrative and clerical support to ensure efficient office operations.

Manage schedules, coordinate meetings, and maintain calendars for management and staff.

Handle incoming and outgoing correspondence, including emails, phone calls, and mail.

Organize and maintain office files, records, and documentation.

Assist in onboarding new employees and maintaining employee records.

Order office supplies, maintain inventory, and coordinate with vendors for office maintenance.

Support management with travel arrangements, expense reports, and other administrative tasks as needed.
Qualifications:

2+ years of experience in Accounts Payable, with a focus on property management or commercial real estate.

Proficiency in Yardi is Required.

Strong knowledge of Microsoft Office (Excel, Word, Outlook).

Excellent organizational and multitasking skills, with a strong attention to detail.

Strong communication skills and the ability to work effectively with internal and external stakeholders.

Prior experience in an administrative support role is a plus.
