HR Administrator 

We are seeking a detail-oriented and proactive HR Administrator to join our team. In this role, you will ensure compliance with all international documentation requirements, company policies, and protocols to secure necessary documentation for shipboard employment. You will support and maintain adequate manning levels while providing logistical services, support, and information to joining crew members.

Job Summary:

As a HR Administrator, you will manage the process of collecting and verifying that all documentation for joining crew members meets international and local requirements. You will be responsible for coordinating with various global partners, managing logistics for crew deployment, and providing administrative support to ensure vessels are appropriately staffed according to scheduling plans.

Duties & Responsibilities:

  • Manage the process of collecting and verifying all documentation for joining crew to ensure compliance with international and local requirements.
  • Record and update crew member information in the HR system, including passport, visa, and medical information as required.
  • Coordinate with global hiring partners, joining crew members, U.S. and foreign embassies/consulates, port agents, shipboard, and shoreside teams to ensure that all pre-employment documentation is in place.
  • Maintain the joiners report and track projected crew movements 6-8 weeks in advance.
  • Coordinate and confirm all logistical requirements for joining crew, including air transportation, ground transportation, and hotel arrangements.
  • Manage crew readiness status in MAPS prior to deployment.
  • Provide administrative support to the crewmember staffing function to ensure vessels are properly staffed according to the scheduling plan.
  • Liaise with the Assignment Specialist on changes needed due to readiness delays or crew movement issues.
  • Research and procure the most cost-effective travel options while ensuring compliance with company policies and regional visa restrictions.
  • Collaborate with the Assignment Specialist team, travel team, global hiring partners, and port agents to ensure smooth crewmember movement.
  • Communicate daily with shipboard Human Resource Operation Managers and Crew Pursers to address variances between manifests, restrictions, and crew joining status.
  • Investigate and resolve issues when crew members are unable to join the ship as scheduled, escalating as necessary.
  • Perform other job-related functions as assigned.

Skills and Experience:

  • Strong organizational and time-management skills.
  • Excellent communication and coordination abilities, both verbally and in writing.
  • Ability to work under pressure and manage multiple priorities.
  • Proficiency in HR systems and documentation management.
  • Experience with international travel coordination and compliance a plus.
