Deployment Administrator
Location: Miami, FL Type: Full-Time
Job Summary: Join a dynamic team in ensuring compliance with international documentation requirements and providing logistical support to maintain seamless crewmember deployment. The Deployment Administrator is responsible for managing all pre-employment documentation, crew travel logistics, and facilitating smooth global crew movements while adhering to company policies and international regulations.
Key Responsibilities:
- Oversee the collection and verification of documentation for joining crew members, ensuring compliance with international and local requirements.
- Maintain and update personal crew information in HR systems, including passports, visas, and medical records.
- Coordinate with global hiring partners, embassies, port agents, and internal teams to meet all pre-employment documentation needs.
- Manage joiner reports and projected crew movements for 6–8 weeks in advance.
- Arrange and confirm crew logistics, including air travel, ground transportation, and accommodations.
- Monitor crew readiness status prior to deployment and communicate any delays or changes.
- Work closely with travel teams and hiring partners to secure cost-effective and compliant travel arrangements.
- Investigate and resolve cases where crew members are unable to join as scheduled.
- Collaborate daily with shipboard and shoreside HR teams to address variances in manifests and crewmember statuses.
- Perform other administrative duties to support the staffing function and ensure vessels are appropriately manned.
Qualifications:
- Education: High School Diploma or equivalent required.
- Experience:
- Minimum of 1 year in business or administrative roles.
Skills:
- Proficiency in Microsoft Office, particularly Outlook, Word, and Excel.
- Strong organizational skills to manage high-volume logistics in a fast-paced environment.
- Effective written and verbal communication skills for interaction with diverse stakeholders.
- Knowledge of global geography and travel logistics.
- Familiarity with Collective Bargaining Agreements (CBA) and contracts of employment is an advantage.
- Ability to maintain confidentiality and shift priorities based on business needs.
