Job Title: Tax Service Coordinator

Job Summary: The Tax Service Coordinator is responsible for managing the administrative tasks associated with tax preparation services. This includes assisting with client communications, maintaining client files, scheduling appointments, and ensuring timely processing of tax documents. The coordinator will work closely with tax preparers, clients, and other departments to ensure tax services are delivered efficiently and accurately.

Key Responsibilities:

  1. Client Interaction:

    • Act as a primary point of contact for clients seeking tax services.

    • Answer client inquiries, provide updates on the status of tax returns, and assist with document collection.

    • Schedule appointments for tax consultations and meetings with tax professionals.

    • Coordinate the transfer and collection of necessary documents from clients to ensure timely filing.

  2. Documentation & Data Management:

    • Organize and maintain accurate records of client information and tax documents.

    • Ensure that all required documents are complete, accurate, and submitted on time.

    • Update client files and input data into the tax preparation system as needed.

  3. Tax Preparation Support:

    • Support tax preparers by organizing and reviewing documents before submission.

    • Assist with the preparation of tax returns by gathering necessary supporting documentation.

    • Ensure all tax-related forms and filings are properly completed and submitted within deadlines.

  4. Compliance & Filing:

    • Ensure that tax returns comply with applicable tax laws, regulations, and deadlines.

    • Verify that all tax returns are filed correctly and monitor for any potential errors or discrepancies.

    • Coordinate the electronic filing process for tax returns when applicable.

  5. Administrative Support:

    • Prepare and send tax-related correspondence to clients, including notices, reminders, and tax information.

    • Maintain a calendar of important tax deadlines and ensure the team stays on schedule.

    • Provide general administrative support to the tax department as needed.

  6. Customer Service & Communication:

    • Maintain a professional and helpful demeanor when interacting with clients, both in person and over the phone.

    • Resolve issues or concerns raised by clients in a timely and efficient manner.

    • Foster a positive client experience through effective communication and follow-up.

Qualifications:

  • High school diploma or equivalent; additional education or certification in accounting or tax preparation is a plus.

  • Previous experience in a tax or accounting environment is preferred.

  • Strong organizational skills and attention to detail.

  • Excellent communication skills, both verbal and written.

  • Proficient in Microsoft Office Suite and experience with tax preparation software (e.g., TurboTax, ProSeries) is a plus.

  • Ability to maintain confidentiality and handle sensitive information with discretion.
