Job Summary
The HR Data Specialist is responsible for maintaining the accuracy, integrity, and usability of human resources data across HR systems and reporting platforms. This role supports HR leadership, compliance requirements, and business decision-making by managing employee data, producing reports, and ensuring data governance standards are followed. The HR Data Specialist works closely with HR, Payroll, Finance, and IT teams to optimize data processes and improve reporting efficiency.
Key Responsibilities
HR Data Management & Integrity

Maintain and validate employee data across HRIS, payroll, and related systems

Ensure data accuracy, consistency, and compliance with internal policies and regulatory requirements

Perform routine audits, identify discrepancies, and correct data issues in a timely manner

Manage data updates related to hires, terminations, job changes, compensation, and organizational structure
Reporting & Analytics

Prepare standard and ad hoc HR reports related to headcount, turnover, compensation, benefits, and compliance

Support workforce analytics initiatives by tracking trends and key HR metrics

Assist leadership with data insights to support strategic workforce planning and decision-making
Systems & Process Support

Support HRIS functionality, system updates, and process improvements

Assist with system integrations between HR, payroll, benefits, and timekeeping platforms

Document HR data procedures, standards, and reporting methodologies

Participate in HR system implementations, upgrades, or data migrations
Compliance & Confidentiality

Ensure HR data practices align with federal, state, and local employment regulations

Maintain strict confidentiality of employee records and sensitive information

Support internal and external audits by preparing required documentation and reports
Cross-Functional Collaboration

Partner with HR, Payroll, Finance, IT, and business leaders to resolve data issues

Respond to data requests and provide guidance on data interpretation and usage

Train HR team members on data entry standards and reporting tools as needed
Required Qualifications

Bachelor’s degree in Human Resources, Business Administration, Data Analytics, or a related field

2+ years of experience in HR data management, HRIS administration, or HR reporting
-
Proficiency in Microsoft Excel (pivot tables, formulas, data validation)

Experience working with HRIS platforms (e.g., Workday, ADP, UKG, SAP SuccessFactors, Oracle)

Strong attention to detail and data accuracy

Ability to manage multiple priorities in a fast-paced environment
