Purchasing Assistant

Basic Purpose and Function: The Purchasing Assistant will work closely with buyers and senior buyers to support procurement activities, ensuring the timely availability of parts and services to meet production needs, business objectives, and financial constraints. This role requires frequent communication with suppliers, internal customers, and strategic teams to establish and maintain effective relationships.

Major Responsibilities:

  • Create, place, and maintain purchase orders for materials, assisting in coordinating timely delivery of parts.

  • Support the review and status reporting of open purchase orders and material delivery schedules.

  • Help resolve scheduling conflicts or delivery delays to meet production requirements.

  • Identify, anticipate, and communicate issues to internal and external stakeholders.

  • Act as a liaison between internal customers and external suppliers to address engineering, quality, and delivery concerns.

  • Coordinate and resolve quality issues, including processing claims for reimbursement.

  • Maintain accurate records, files, and system parameters, and generate reports for review and distribution.

  • Assist buyers and supervisors in financial control and risk management, including invoice reconciliation.

  • Adhere to safety standards by maintaining a clean work environment, following all safety protocols, participating in training, and addressing safety concerns proactively.

Qualifications:

  • High School Diploma or equivalent.

  • Experience in materials or purchasing is preferred but not required.

  • Strong written and verbal communication skills.

  • High level of integrity and a sense of urgency.

Working Conditions:

  • Standard office environment with occasional exposure to shop environments.
