A fast growing architecture firm in Hoboken, NJ is seeking an Administrative Coordinator to join their dynamic team. This role includes HR responsibilities, administrative coordination, light accounting tasks, and general office management.
Responsibilities:
- Manage daily office operations, supplies, and vendor relationships.
- Serve as primary point of contact for HR-related matters (onboarding, benefits, compliance)
- Handle incoming calls, scheduling, and general administrative support.
- Organize and maintain physical and digital files and documentation.
- Assist with bookkeping and accounting tasks (invoicing, expense tracking etc.)
- Support internal communications and assist leadership as needed.
- Contribute to marketing efforts, including social media management, proposal coordination, and occasional graphic/content creation.
- Ensure the office environment is productive, professional, and efficient.
Requirements:
- 5+ years in administrative, office management, or HR support role.
- Excellent organization and time-management skills.
- Strong communication and problem-solving abilities.
- Experience with HR functions and basic accounting/bookkeeping.
- Proficiency in Microsoft Office and/or Google Workspace; experience with QuickBooks is a plus.
- Marketing/social media experience is a strong plus.
- Experience in the architecture, design, or creative industry is helpful but not required.
