Our client is a growing firm that is seeking an Office Administrator, this role will play a key role in ensuring the smooth operation of our office.
Responsibilities:
- Answer and direct incoming phone calls promptly and professionally.
- Serve as the first point of contact for clients and visitors, providing a welcoming experience.
- Manage office supplies, inventory, and order replacements as needed.
- Coordinate with vendors for office maintenance and services.
- Manage and coordinate executives’ calendars, scheduling meetings, appointments, and conference calls.
- Utilize Concur to process and manage expense reports accurately and in a timely manner.
- Arrange both domestic and international travel
- Track and reconcile travel expenses.
- Assist with document preparation, data entry, and filing.
- Provide support for internal meetings, including preparation of materials and setting up conference rooms.
- Organize any team off sites or internal company events
Qualifications:
- 1+ years of experience in an administrative or office support role.
- Previous experience in a Financial Services firm is a must
- Proficiency in Concur for expense and travel management.
- Strong organizational skills with attention to detail.
- Excellent verbal and written communication skills.
- Proficiency in Microsoft Office Suite (Word, Excel, Outlook, PowerPoint).
- Professional demeanor and positive attitude.
- This position is onsite Monday – Friday
