Overview: We are seeking a professional, organized, and friendly Receptionist / Administrative Assistant to serve as the first point of contact for visitors and callers while providing essential administrative support to ensure smooth day-to-day office operations. This role is ideal for someone who thrives in a fast-paced environment, is detail-oriented, and enjoys creating a welcoming and efficient workplace.
Key Responsibilities:
Front Desk & Visitor Management
- Greet and welcome visitors, ensuring a positive and professional first impression
- Answer, screen, and route incoming phone calls; take and relay accurate messages
- Respond to general inquiries or direct them to the appropriate staff member
- Maintain the reception area to ensure it is clean, organized, and presentable at all times
Administrative Support
- Schedule meetings, manage conference room bookings, and coordinate room setup
- Create and maintain spreadsheets, Word documents, and merged mailings
- Assist with document preparation, data entry, and basic filing
- Handle incoming and outgoing mail, packages, and courier deliveries
- Coordinate office supplies and support general upkeep of kitchen, breakroom, and meeting spaces
Calendar & Office Coordination
- Manage and update calendars, appointments, and follow-up reminders
- Assist with internal office communications and scheduling logistics
- Act as the liaison between the company and building management
- Support coordination of company activities and events as needed
Security & Procedures
- Ensure all security procedures are followed for visitor check-ins and access
- Help maintain confidentiality and professionalism across all interactions
Qualifications:
- High school diploma or equivalent required; associate’s degree a plus
- 2+ years of administrative, office, or front desk experience preferred
- Proficiency in Microsoft Office Suite (Word, Excel, Outlook)
- Excellent verbal and written communication skills
- Strong organizational and multitasking abilities
- Professional, courteous, and customer-service oriented
- Ability to work independently and as part of a team
