Job Summary
This position is integral to the smooth operation of the front office, serving as a key resource for various departments and personnel seeking accurate information. The role involves performing a variety of administrative tasks, including providing customer service support and assisting with office operations.
Essential Responsibilities
- Provide routine customer service support related to receivables and payables.
- Process vendor invoices, ensuring proper GL codes, approvals, and purchase orders are in place.
- Maintain filing systems for customer and vendor invoices.
- Assist with order entry and customer service for satellite locations.
- Order supplies and manage inventory for satellite offices.
- Update and maintain paper logs and pricing records.
- Oversee open purchase order maintenance.
- Prepare documents and spreadsheets for accruals.
- Handle incoming and outgoing mail.
- Answer phones professionally, directing calls, taking messages, responding to routine inquiries, and providing general information.
- Greet visitors and manage the sign-in book, ensuring confidentiality waivers are completed.
- Maintain the postage machine and oversee related processes.
- Provide exceptional customer service and assist clients with inquiries.
- Communicate professionally with vendors, customers, and senior leadership, both in person and via correspondence.
- Order and distribute office supplies as needed.
- Run various errands to support office operations.
- Assist with general office duties and special projects as required.
Qualifications
- Education: High School diploma or GED required.
- Experience:
- Minimum of 3 years in a manufacturing environment.
- 3-5 years of experience in accounting or a related field.
- Prior clerical and organizational experience.
- Strong interpersonal skills and the ability to communicate effectively via email and telephone.
- Intermediate computer skills.
- Comfortable working in a fast-paced environment.
- Self-motivated with the ability to work independently.
- Capable of multitasking and meeting deadlines.
